ERCA Meeting Minutes January 28, 2013

Meeting called to order 1900,  Location: 4th & Lincoln, Eugene

26 members and guests were present

Officers present: President Roger Dahl, Vice President JR Graham,

Secretary Robert Morris, Treasurer AL Barrington and Safety Coordinator Mike Burgess.

Announcements:  Next meeting, February 25, 2014, at Roaring Rapids Pizza Parlor, at 7pm.
(Please consider helping with a donation to the pizza fund)

Secretary / Treasurer Report –  AL Barrington:

♦    Welcomed new or prospective members, visitors and guests. Jeff Lutz returned from inactive, and new members Rivers Beiderwell and Dale Barth. – Members voted to approve all.

♦    2014 ERCA membership is currently at 55.  About 40 still not renewed.

♦    Reported bank balance $1,762.94 –  Report approved.

Minutes of last meeting – read by Secretary Robert Morris  – Approved

Safety  –  Coordinator Mike Burgess reported:

♦    No reported incidents this month.

♦    Brad Werneth mentioned the first member to arrive at the airfield must open the clubhouse in order to quickly access the safety equipment and first aid kit in case of emergency.

Events: – Mike Winklepleck and Brad Werneth reported

♦    Discussed 2014 events. Memorial Day will be free events. (No landing fee).

Old Business:

♦    Mike Burgess mentioned some flooding on part of the N/S runway that will need more dirt added to the affected areas.  President Roger discussed boundaries and procedures for using the N/S runway.  It will now be more important for pilots to announce their intentions and for others to acknowledge and pass it on.

♦    The decision to remove the elevated flight station from the flight line was approved again.

♦    Melissa Graham mentioned the clubhouse step still needs repair.

♦   President Roger asked Brad about getting more carpet for the clubhouse floor.

♦    President Roger asked Al about the status of our club hats and T-Shirts and having them available for sale at the meetings.

New Business: 

♦    Mike Winklepleck introduced 3DRC forum program for promoting and sponsoring future ERCA events.  Discussed how it would help with putting on the Monster Fest 2014. The membership voted to approve spending $200 to get started.

♦    Discussed adding gravel on the roads to the field.

♦    Al proposed continuing the $100 donation to the American Cancer Society as we have the past few years.  Members voted and approved.

♦   Brad Werneth was presented the award for member of the year for 2013.

Show and Tell – Casey Sanguins brought his foamy for show.

ERCA Meeting Minutes February 25, 2013

Announcements:  Next meeting, March 25, 2014, at 4th & Lincoln, at 7pm.

Treasurer Report –  AL Barrington:
    Welcomed new or prospective members, visitors and guests
    2014 ERCA membership is currently at 61.  About 40 still not renewed.
    Reported bank balance $2,162.60 –  Report was approved.
    Announced the 2013 financial report is available for review.

Minutes of last meeting – read by Secretary Robert Morris  – Approved

Safety  –  Coordinator Mike Burgess reported: No incidents this month.
    VP JR reported the field is still being used without the clubhouse being opened to access the safety equipment.
    Pres Roger told about markers he placed on the North/South runway to indicate suggested boundaries.
    Melissa Graham noted trash is being left behind.  Pres Roger noted concrete pad retainer posts are not being properly stored after use.

Events: – Brad Werneth
    Mike Burgess announced Dog Trials will be March 23rd so the field will be closed.
    Showed the new ERCA T-Shirts for sale at $15ea.
    Discussed 2014 events. Memorial Day will be a free event. (No landing fee).
    Explained how to pre-register for the Monster Fest thru RC Flightdeck for a discount.
    Mike W. has secured about $1,000 in MF prizes.  More sponsor contacts are planned.  Aerobeez will join us again this year.

Old Business:
    Pres Roger and Warren Edwards took down the elevated flight station and repurposed some of the usable wood.
    The clubhouse step was repaired from some of that wood.
    AL brought the remaining club T-Shirts for sale.  Sold 2 at the meeting.

New Business:
    Conner Wilson presented a proposal to build the club some flight tables for his Eagle Scout project.  The members voted to support his project after some follow up from suggestions offered during discussion.
    Jim Corbett announced the need to replace our aging mowers.  He suggested $400-500 for a used mower to replace the Ford first.
    Melissa Graham requested hand sanitizer for the outhouse.  Casey Sanguins said he had a wall mountable unit we could use.
    Treasurer AL Barrington presented the proposed 2014 Budget – Approved.
    Discussed fundraising activities and sustainability of providing the soda cooler stock.

Show and Tell – Glenn Forrest brought his foam Spruce Goose for show.

•    Any members who have not renewed by the March meeting were put on the inactive list.
•    Received our AMA charter & insurance for 2014.
•    Still waiting for our tax exempt status from the IRS.
•    Reported bank balance $2,857.60 – Report was approved

ERCA Meeting Minutes April 22, 2014

Meeting was called to order at 1900, Location: 4th & Lincoln, Eugene, Oregon

23 members and guests were present.

Officers present: President Roger Dahl was absent, Vice President JR Graham presided,  Secretary Robert Morris Jr., Treasurer Al Barrington and Safety Coordinator Mike Burgess.

Announcements: Next meeting May 27, 2014, at 4th & Lincoln at 7pm.

Treasurer Report – Al Barrington:

  • Welcomed new or prospective members, visitors, and guests.  Brian Baker’s membership application was voted and approved.
  • Reported that 2013 tax reports have been filed.
  • Still waiting for our tax exempt status from the IRS.
  • Reported the purchase of the new field mowers.
  • Reported bank balance $2,339.93 – approved

ñ  Mentioned Memorial Day Fun Fly is on May 26, 2014.

ñ  Explained Monster Fest in August and the involvement with 3D Bash Series.

ñ  Proposed to buy $150 worth (15 shirts) of 3D Bash T-shirts to sell at the Monster Fest – Approved

ñ  Starting a volunteer list of members to help with the Monster Fest.

 

Old Business:

ñ  Brad Werneth asked for clarification on the mower fund donations and costs and what is to happen with the excess.  VP JR told that the fund would remain active to buy any parts or incidentals for the mowers.

ñ  VP JR gave a synopsis of the Bob Barrow plane sale involvement with our club headed up by President Roger.

ñ  VP JR told of the plan to dedicate one new mower to the memory of Bob Barrow by having artwork added to that effect.

ñ  JR mentioned the May 3rd swap meet at the Irvington Grange where the remaining Barrow planes would be sold.

New Business:

ñ  Field fire extinguishers need service.  Rivers Beiderwell offered to take charge of getting them done before the event season.  Discussed past fire issues and procedures.  Suggested attaching a shovel to the fire cart.

ñ  Mel Graham Sr. brought up that the charging station covers need replacing.

ñ  Doug McWha called for a plan for the trash at the field.

ñ  VP JR asked for more emphasis on calling out intentions on the flight line.  Having signs as reminders to pilots.and for power station operation.

ñ  VP JR asked about adding gravel to extend the west parking area to keep cars from parking on the new grass.

ñ  VP JR introduced Casey Sanguins as the club’s chairman of the sponsorship program.  Jim Corbett explained a program modeled after other club’s programs we may adopt.

ñ  Sec Rob Morris is working with VRC as a venue for a display to promote the club and events.

ñ  Discussed getting signs made for promotions and sponsors.

ñ  VP JR explained his efforts to improve the club’s relations with Eugene Toy & Hobby.

ñ  VP JR asked Mike Burgess about adding underground sprinklers and fill dirt to the field.

  • As of the May meeting we have 81 Total members
  • Reported bank balance $5759.25- Report was approved

  • Memorial Day Fun Fly was a hit.
  • Mike Winklepleck has contacted Regal Cinama at VRC to setup a display for the new “PLANES 2” movie, and they would love to have us. Waiting to get dates for the setup.
  • Unlce Lou gave the club the green light for the use of his land for parking during Monster Feast.

 

Old Business:

  • Field fire extinguishers need service. Suggested attaching a shovel to the fire cart.
  • Mel Graham Sr. brought up the charging stations covers needed replacement.

ERCA Meeting Minutes August 26th, 2014

Meeting was called to order at 1900, Location: Airfield.

18 members and guests were present.

Treasurer Report – Al Barrington:

  • Welcomed new or prospective members, visitors, and guests
  • Reported bank balance $7,510.57 – Report was approved

Minutes of last meeting – Read by AL Barrington – Approved

Safety – Coordinator Mike Burgess reported: One member got a flesh wound from a spinning prop on an electric powered plane.  Caution was advised.

Events

  • AL Barrington gave a financial report for Monster Fest 2014 – Net gain $887.01.

Old Business:

  • Al reported the clubs fire extinguishers were all serviced, recertified and one replaced with a new 10 pound unit for a total of $80.75.
  • Dave Fenner asked for help on field maintenance.
  • President Roger marked off parking for summer and winter.
  • Jim C mentioned the new engine run-up area is done.
  • First aid kit was restocked by Melissa Graham.
  • 4 stools were bought for the pilot stations by Warren Edwards.

New Business:

  • President Roger suggested sending thank-you’s to those who helped with MF2014.  Checking with Mike & Brad to see what has been done or planned.
  • Labor Day Fun Fly was discussed and a show of those present who planned to attend.
  • President Roger stated a member’s concern about the rough runway.  Many expensive options were discussed regarding weeding, fertilizing, grading and watering.  Nothing was decided.
  • Mike Burgess said the trash can be dropped by the mailboxes on alternate Tuesdays for pickup.
  • Frank Blain expressed concern for the drop in member interest in the club.  Discussed but nothing decided.
  • Melissa Graham suggested to start planning the Christmas party.  Nothing decided.
  • AL Barrington  mentioned we only have three more meetings left in this year.  Elections are in November. Nominations for officers opens in September.  Members present decided to try the River Rd. Abby’s Pizza parlor for the October meeting venue.

Show and Tell:  Jeff Lutz showed his Balsa USA kit project in progress he aquired through RC Groups.
